Excel: Save Time with Saved Views – A Beginners Guide to Sheet Views and Custom Views

This video introduces Custom Views and Sheet Views in Microsoft Excel as features to boost efficiency by saving time and effort. Custom Views are used when a file is saved on your computer. They provide a simple solution for users who repeatedly apply the same filters and settings to a sheet, such as checking online orders with the highest priority placed in the current year. To save a Custom View, you navigate to the View tab, click on Custom View, then Add, enter a name, and click OK. Once saved, you can make changes to the sheet without affecting your regular view. You can quickly switch back to any saved view by going to Custom Views and clicking the Show button, or by simply double-clicking the view’s name. You can save and switch between as many Custom Views as you like.

For files saved online, such as in Microsoft OneDrive, you can use Sheet Views. With the file saved online, navigate to the View tab and select New Sheet View. A temporary view is created, which you can save permanently by clicking Keep and giving it an appropriate name. Sheet Views have different colored column and row headers than the default view. Any changes made in the default view will not affect your saved Sheet Views, allowing you to switch between them quickly and see the same report from different angles without constantly reapplying filters. You can switch views using the dedicated button or exit back to the default view. Both features help users save considerable time and effort by allowing them to quickly switch between frequently used filtered or set views.
